Is ERPNext really free? What open source actually means for your business
No licence fee is not the same as no cost — and "open source" means something more useful than "free" anyway.
Yes, ERPNext costs nothing to licence. It is released under the GPLv3, which means you can download it, install it, and run it for an unlimited number of users without paying anybody.
That answer is true and slightly misleading, so it is worth unpacking.
What "free" covers
The software. Every module — accounting, stock, buying, selling, manufacturing, projects, CRM, assets, and HR through Frappe HR — with no per-user charge, no module unlock fee, and no annual renewal that fails if you forget to pay it.
This matters most to businesses that grow. On a per-seat ERP, putting your whole warehouse team on the system is a budget decision. Here it is not a decision at all.
What still costs money
Implementation. Somebody has to understand your business, configure the chart of accounts, set up your item masters, build your approval workflows, produce your bilingual print formats and migrate your opening balances. That is the real project, and it is where the money goes. See what an implementation involves.
Hosting. The system runs on a server somewhere, and somebody maintains, backs up and updates it.
Support. When something breaks at month-end, you want a number to call.
The part that is genuinely valuable
Open source is not mainly about price. It is about the fact that you hold the source code.
On a proprietary ERP, a change you need is a request to a vendor who decides whether it is worth building, when, and at what price. If they discontinue the product or get acquired, your options are their options.
With ERPNext you own the installation and the data, you can change what you need to change, and you can hire anybody competent to do it — including a team that is not us. That is a genuinely different negotiating position, and it is the reason serious businesses choose it over the cheaper-sounding alternative.
Where it is not the right answer
If you need software that is heavily specific to a regulated niche and a mature product already exists for it, a general ERP will take more configuration than it is worth. We will tell you that rather than sell you a project.
If you want to talk it through, we do independent consulting without the implementation attached.
