ERPNEXT FOR SAUDI ARABIA

ERPNext Implementation for Saudi Businesses

ZATCA Phase 2 e-invoicing, 15% VAT, GOSI payroll and Arabic invoicing — implemented for Riyadh, Jeddah and Dammam by GCC consultants who share your working week.

Saudi Arabia has moved faster on e-invoicing than anywhere else in the Gulf. ZATCA's Fatoora programme has pushed structured, cryptographically stamped invoicing from a compliance footnote to the thing that decides whether a billing system is viable at all. For businesses still running Tally, spreadsheets, or an ERP whose invoice data cannot be exported in a usable structure, Phase 2 is not a formatting change — it is a replacement deadline.

Why ERPNext suits the Saudi compliance picture

Two properties matter more than feature lists here. ERPNext holds every invoice as structured data in an open schema, and exposes all of it through a REST API. That is precisely what a clearance model demands: the ability to emit a UBL XML document, attach a cryptographic stamp and QR code, submit it to Fatoora, and record what came back — all without exporting to a spreadsheet and re-keying. A system that can only print a PDF has to be wrapped in middleware to achieve the same thing.

The second property is cost structure. ERPNext is open source under GPLv3, so there is no per-user licence. For Saudi businesses scaling headcount under Vision 2030 hiring pressure, an ERP whose cost rises with every new employee is a liability.

What a Saudi ERPNext rollout covers

  • ZATCA Phase 2 integration. UBL XML generation, cryptographic stamping, QR codes, and connection to the Fatoora platform — clearance for standard invoices, reporting for simplified ones. Scoped explicitly, not assumed.
  • VAT at 15%. Standard, zero-rated and exempt templates, reverse charge on imported services, VAT registration number on every tax invoice.
  • Arabic invoicing. Mandatory on Saudi tax invoices. Bilingual print formats and Arabic fields in the structured output, not only the printed document.
  • GOSI and payroll. Contribution rates for Saudi and non-Saudi employees, end-of-service accrual, bank-ready salary files.
  • SAR multi-currency. Import in USD or EUR, sell in SAR, with exchange differences posted automatically.
  • Multi-branch and multi-entity. Separate companies in one instance with consolidated reporting across the group.

Sectors we build for

The configuration patterns carry across the Gulf; the tax and labour layer is what changes:

  • Trading and distribution — landed cost on imports, multi-warehouse stock, batch and expiry tracking.
  • Manufacturing — bills of material, production planning, work orders, actual versus standard costing.
  • Contracting and construction — project costing, subcontractor certification, retention and work-in-progress reporting.
  • FMCG — van sales, route planning, expiry-driven stock rotation.
  • Services — timesheet billing, recurring contracts, revenue recognition.

Delivered remotely, without the usual drawbacks

  • Shared hours. Doha and Riyadh are in the same time zone. Questions are answered the same morning, not the next working day — the difference that makes remote delivery from outside the region frustrating simply does not apply.
  • Direct access. You work with the consultant who maps your processes and configures your system, not an account manager passing messages to a delivery team elsewhere.
  • Onsite where it earns its cost. Kickoff workshops, user training and go-live week in person; the rest remote, so you are not funding travel that adds nothing to the outcome.

Taking over a stalled implementation

A significant share of the ERP work in the Kingdom right now is rescue work — projects that stalled at Phase 2, or systems configured by a partner who has since disengaged. We start those with a written audit: what is configured, what was customised and how, which data can be trusted, and what reaching go-live actually takes. You get that assessment and a costed plan before committing to anything beyond it. Our consulting engagement is built for exactly this.

Moving off your current system

Most businesses coming to us are leaving Tally, QuickBooks, Zoho, spreadsheets, or an ERP that was never fully adopted. We migrate chart of accounts, customer and supplier masters, item masters, opening stock and open receivables and payables — validated against your existing trial balance before go-live, not after. See how we handle data migration.
